1. Delete it yourself, in the app
This is the fastest route and it needs nobody's approval:
- Sign in to RoofExa.
- Open the menu with your name on it, top right.
- Choose Profile.
- Scroll to the bottom and use Delete my account.
Before anything is deleted the screen shows you what will happen to your account, including how many customers, estimates, photos, and documents are involved. To go through with it you have to enter your password and type DELETE. Both are deliberate: a phone left unlocked on a table should not be able to erase a company with one tap.
2. What happens to your company account
RoofExa is a business tool that several people share, so what gets deleted depends on who else is on the account:

| Nobody else is on the account | The whole account closes with you. Every record belonging to the company is scheduled for erasure and any subscription is cancelled straight away. |
| Colleagues remain but you are the only admin | Refused, on purpose. Make someone else an admin first, then delete. Otherwise one person leaving would lock everyone else out of their own company data. |
The screen tells you which of these applies to you before you confirm, so you are never guessing.
3. If you cannot sign in
You do not lose the right to delete your data just because you lost access to the account. Ask us and we will do it:
- Email [email protected] from the email address on the account, with "Delete my account" as the subject.
- Or call (860) 595-7643, Monday to Friday, 8:00 AM to 5:00 PM Central Time.
- Or send the contact form and pick "Help with my account".
We verify that the request really comes from the account holder before we act, because an unverified deletion request is a way to attack somebody's business. Once verified we start the same process described above and confirm by email when it is done. We answer requests like this within 30 days, and normally the same business day.
4. What is erased
When an account closes, everything the company put into RoofExa is permanently erased, including:
- Your login, name, email address, phone number, and password.
- Customers and contacts, and the notes, tags, and history attached to them.
- Measurements, estimates, proposals, signatures, and the PDFs generated from them.
- Photos, uploaded documents, and any other files stored on the account.
- Jobs, appointments, tasks, time entries, and material orders.
- Email, text message, and call records created through the service, and the marketing lists behind them.
- Your company settings, price lists, templates, branding, and connected integrations.
This is a real erasure from our live database, not a hidden flag. The list is derived from the database itself rather than a hand-written list, so a table added later is erased too.
5. What we have to keep, and why
Three narrow things survive deletion, because the law does not let us destroy them:

None of these are used to contact you or to build a profile, and none of them contain your customers' records. Security and audit logs are kept up to 24 months and then go. The full picture is in the Privacy Policy, section 10.
6. How long it takes

| Within 30 days | A grace window. The data is not visible or usable, but support can still put it back if you deleted by mistake. Tell us quickly if that happens. |
| After 30 days | The data is permanently erased and cannot be recovered, apart from the records in section 5. |
If you asked us to delete on your behalf rather than doing it in the app, the clock starts when we verify the request.
7. Subscription and billing
Deleting the account cancels the subscription at the same moment, so there is no further charge and no cancellation fee. You are not refunded the unused part of a period you already paid for. If you only want to stop paying and keep your records, cancel instead of deleting: see the Refund & Cancellation Policy. Cancelling and deleting are separate things, and cancelling is reversible.
8. Homeowners and estimate recipients
If you are a homeowner who received an estimate, a text, or an email through RoofExa, your details were entered by the contractor, not by us. They control that record, so ask them to remove it. You can also write to [email protected] and we will pass the request to the contractor and help you follow it up. See section 2 of the Privacy Policy for why the contractor, not us, is the one who decides.
